How to Plan a Safe AI-Assisted Workflow

A useful AI integration begins with a bounded task and an accountable owner. This guide explains the questions to resolve before connecting a model to business records or allowing it to influence an operational action.

Define the task and the permitted result

Choose a concrete job such as drafting an internal summary or suggesting an enquiry category. Specify the input, expected output and what happens when information is missing. Decide whether a fixed rule or normal API integration can achieve the result without a model. Do not begin by giving an agent broad access and hoping a useful workflow emerges.

Map information and authority separately

List the data each step may read and the actions each step may perform. Reading a record does not authorize changing it or sending it to an external provider. Decide who reviews data handling, retention, provider terms and sensitive fields. Keep credentials outside public source and prompts. Give each integration the smallest access needed for the agreed task.

Make source text untrusted

Documents, emails and web content can contain misleading instructions. Treat them as input to evaluate, rather than permission to run commands, change roles or disclose other records. Use constrained fields for outputs and validate their types and current source state. A plausible model response is not proof that the underlying fact is true.

Keep consequential actions reviewable

A draft message, suggested refund or recommended release should enter the appropriate existing review flow. Deterministic checks should validate approved actions, prevent duplicates and preserve receipts. Timeouts need an uncertain-result path; blindly retrying may repeat a message or transaction. If a provider is unavailable, make the failure clear and retain a manual route.

Evaluate before expanding

Test representative authorized examples, malformed inputs, permission failures, duplicate requests and hostile source instructions. Measure usefulness as well as boundary enforcement. Start with a limited rollout, record actual human review effort and provider cost, and compare with the original task. New data sources, tools or autonomous authority require a fresh review; a successful pilot does not authorize unlimited future actions.
